ESSENTIAL FUNCTIONS
• Distribute mail and answer telephones for General Manager, Rooms Division Manager and Director of Outlets; handle all phone calls as needed
• Coordinate travel arrangements for staff when requested
• Manage calendar for General Manager and Rooms Division Director
• Liaison between General Manager and all in-house department heads and outside companies/clients
• Attend Leadership Team Meetings, prepare agendas, record minutes and distribute to LT members.
• Maintain tracer files for executive office
• Filing, faxing, photocopying
• Prepare check requests and petty cash forms for executive office
• Compose letters and respond to online TripAdvisor responses on behalf of General Manager
• Order office supplies
• Create and coordinate printing for various Rooms Division and F and B letters, cards, etc., as requested
• Create and distribute daily newsletter to all associates
• Coordinate group meetings for executive office via Microsoft Outlook
• Enter Quality Assurance information on Marriott Quality Assurance website
• Prepare and present "welcome" cards for our repeat guests
• Prepare and distribute daily and weekly quality assurance reports to department heads
• Issue and recordkeeping of gift certificates; make reservations for gift certificates
• Generate and manage/follow-up on reservations for companies/individuals that get special rates, VIPs, trades, complimentary guest rooms
• Special projects as assigned by management
• Enter and maintain online banquet menu website
• Assemble and distribute F and B calendar weekly
• Maintain hotel vendor contract books
• Attend training meetings
• Update management roster and send to corporate office as necessary
• Notary Public for hotel guests and associates
• Maintains in-house telephone list
• Monthly benefit letters for DST and Americo Associates
• Ordering and recordkeeping for Spirit to Serve Awards for all associates


KNOWLEDGE, SKILLS AND ABILITIES
• Associate degree or 3-5 years clerical experience in appropriate field
• Must be proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook)
• High level of confidentiality, ability to prioritize, excellent organizational and communication skills
• Experience in internet and intranet
• Hospitality experience preferred
